Your contract with us will begin when we issue you with your booking confirmation. Your contract with us will be as set out in these terms and conditions.
Payment of a deposit confirms the reservation of a pitch.
A Booking is formally confirmed when you are issued with your confirmation invoice which will be sent via email. This will set out the items booked, dates of booking and total amount of the booking. If there are any issues with the information, you must notify us within 3 days of receipt of confirmation, or 24 hours if you are due to visit within the next 72 hours.
The Management reserves the right to refuse any booking.
The person making the booking will be responsible for all members of the party and must be over the age of 18 years. Bookings for under 18’s can only be made by prior arrangement and additional terms and conditions will apply.
Cheques are not accepted as a form of payment.
Balance payments are to be paid 28 days prior to the arrival date. A reminder will be sent to make payment. No further reminders for payment will be sent. If the balance payment is not paid within 14 days of the arrival due date, the booking will be cancelled.
Prices
We reserve the right to amend prices at any time.
We reserve the right to apply any changes to balances for additional charges outside our control e.g. change in VAT rates.
Promotional Offers can only be applied if they are valid and quoted at the time of booking. Offers and discounts cannot be combined, and cannot be used retrospectively to existing bookings.
We reserve the right to change or withdraw a promotional offer at any time.
Booking Cancellation or Amendment
The contract is for the provision of leisure services on a specific date or dates, and you do not have a statutory right to cancel the contract. However, the cancellation policy applied for your booking will be dependent upon the date upon which the cancellation notification is received by us. A cancellation request must be made in writing by email and will be subject to the following charges:
Days Prior To Arrival Policy

Between 56 days and 28 days Forfeit of deposit
Within 28 days Full Payment due - no refund
A confirmation of the cancellation will be sent to you by return of email.
Non-arrivals will receive no refunds or compensation. If we have not had any correspondence from you after 24 hours of your arrival date, we reserve the right to re-let the pitch.
No refunds or compensation will be made for early departure.
Any changes to your booking must be made in writing with details of the current booking and the changes requested.
We will endeavour to fulfil the request but cannot guarantee any changes.
We reserve the right to charge an administration fee of £15 to cover the cost of changes made. Any additional costs due will be confirmed at the time of booking amendments. If there is a reduction in costs, we will refund the difference (less any administration fee).
We will not be held liable in the event of force majeure, and any non-performance of our obligations under this agreement, if such non-performance shall occur as a result of circumstances beyond our control including but not limited to: Industrial Dispute, Fire, Flood, Riots, Adverse Weather Conditions, Civil Dispute, Epidemics, Health Risks, Terrorist Attack, War, Civil Commotion, Failure of public or private communications, Other such similar events.
Bookings may need to be changed or cancelled due to reasons unforeseen at the time the booking was made, which are beyond our control.
If your booking needs to be changed or cancelled by us we will inform you as soon as possible. We will endeavour to offer you a suitable alternative booking. If you do not accept the suitable alternative, your booking will deemed to have been cancelled and the cancellation policy will apply. If we are unable to offer a suitable alternative, we will refund you the total amount paid to date.
We will not be responsible for unforeseeable losses you suffer as a result of a change or cancellation.
It is highly recommended that you obtain appropriate travel insurance prior to your visit.
Special Requests
Special requests must be made at the time of booking.
We will endeavour to fulfil requests, but cannot guarantee compliance.
We do not accept party bookings e.g. Hen, Stag, Birthday parties.
Group Bookings can only be accepted by prior arrangement. Additional terms and conditions may apply to group bookings.
Complaints
Complaints must be made prior to or at the time of your visit. Retrospective complaints cannot be accepted.
We must be given the opportunity to investigate and resolve any complaint.
Termination of Contract
We may terminate this contract (without compensation), and ask you to leave the Site immediately if:
· We consider you or any of your party to have committed a serious breach of the Booking Terms and Conditions or Onsite Terms, Conditions and Rules.
· We consider you or your party’s behaviour endangers the safety of visitors and/or staff
· There are any complaints of anti-social or unacceptable behaviours against you or any member of your party
· Your or any member of your party causes unreasonable amount of damage to any part of the site or its facilities
Onsite Terms, Conditions and Rules
Onsite Terms, Conditions and Rules will apply at all times and form part of the overall Terms and Conditions of your visit.
The Visiting Terms and Conditions and Site Rules will be deemed to have been accepted at the time of booking.
Agreement
This agreement supersedes any previous contract.
No-one other than a party to this contract shall have any right to enforce any of its terms.
Data Protection
We will use your data in accordance with the Privacy Policy.
Governing Law
All Terms and Conditions are
governed by English Law.
The Onsite Terms, Conditions and Rules apply in conjunction with the Booking Terms and Conditions and the Site Rules.
Check in times are 2pm – 8pm. Admission to the site after 8pm will NOT be permitted for the comfort and safety of other guests and our staff. Please note there are no exceptions to this rule. Please ensure you leave enough time to allow for potential traffic delays, and have booked an appropriate ferry to cater for travel time on the Island.
You must check in prior to making your way to the pitch.
You will only be allowed to check in if full payment has been made.
Please ensure you arrive in plenty of time to check in and pitch.
No pitching will be permitted after 9pm.
The number of persons staying at a pitch cannot exceed the number
stated for the pitch booked, nor the number of people booked and paid for.
Early check-in may be possible for an additional fee, subject to availability.
Pitches must be vacated by 11am.
Late departure (subject to availability) may be available for an additional fee.
All property and refuse must be removed.
The pitch must be left in a good clean state.
Stoats Farm will not accept any responsibility for loss or damage to persons or their property arising from the use of the site or its facilities.
We will not tolerate any abuse (written, verbal or physical) towards any staff or our representatives.
We may communicate with you from time to time about your booking and your experience with us.
If you see or experience any damage or issues requiring maintenance, you must notify a member of staff immediately. You must not try to resolve any issues yourself.
Visitors to any pitch must sign in at reception and are not permitted to use the Facilities Block. Visitors must abide by onsite rules at all times. Visitors must park any vehicle in the designated car park, and must ensure they do not arrive or leave during the campsite quiet hours.
If you wish to raise an issue or complaint, please see a member of staff at Reception. If Reception is closed, and the matter is urgent you may call the Warden mobile phone number which will be given to you upon arrival.
You may only use the pitch and accommodation for the purposes of a holiday. You may not use it for any other purpose including but not limited to business purposes.
Gazebo’s are accepted if they are used instead of an awning and positioned as an awning. Maximum size of a Gazebo is 2.5 metres x 2.5 metres. Gazebo’s may only be erected with a tent if positioned as an extension and it will form part of the dimension of the tent when booking.
Each habitable unit must be at least six metres away from any other unit. Please place units as per map of pitches to ensure adherence to these rules.
Other peripherals e.g. car, awning, PUP Tents, open sided gazebos etc. must be located at least three metres from any other unit (this includes any guy/anchor ropes/points).
Closed sided gazebos are considered another unit of accommodation and will be treated as such within the booking and spacing of units.
These spacing rules are non-negotiable and for fire safety purposes. Any person(s) not adhering to these rules will be asked to move their unit, and consistent failure to follow this rule will result in you being asked to leave the site without compensation.
Accommodation and units are not be used or allowed to be used for any dangerous, offensive, noisy, illegal or immoral activities.
Only one towing vehicle (maximum length 5.5 metres, maximum height 2.2 metres) may be parked per pitch. Additional vehicles must be parked in the designated car park, for which charges will apply. Motorhomes / RV’s towing small cars are exempt if the total combined length is less than the pitch booked.
Electric Vehicles must only be charged at the designated charging points provided in the car park. Under no circumstances can you charge an Electric Vehicle using any charge from the pitch electrical hook up point.
Serviced pitches can only accept grey waste-water.
Washing lines are not permitted.
You must adhere to the one way traffic flow in operation.
The speed limit on site is 5 miles per hour.
Cycling is permitted on the roadways only.
Scooters, skateboards or roller skates/blades are not permitted.
Young children are the responsibility of accompanying parents/guardians. Children must not be left unattended at any time including when using any facilities onsite.
Stoats Farm is a quiet family campsite. You must not cause nuisance or annoyance to any neighbours or anyone else during your stay.
Quiet hours of the site are 10pm – 7am.
No vehicular movements between quiet hours. If returning to site after 10pm, or plan to leave prior to 7am please ensure your vehicle is left in the car park overnight.
Please be respectful when walking to/from your pitch during quiet hours.
Music must be inaudible to neighbouring accommodation.
No music is permitted after 9pm.
Generators are not permitted.
Dogs must be pre-booked and must be kept on a lead at all times whilst on site, with the exception of the Bark Park.
No other pets are permitted.
The Bark Park is provided exclusively for exercising dogs. They are not permitted to foul elsewhere onsite. You must clear up after your dog at all times. Designated bins are provided for dog waste.
Dogs must not be left unattended outside your unit.
Dogs are not permitted within a radius of 5 metres of the Facilities Block.
Dogs must not cause a nuisance to any guests.
Smoking is not permitted in any onsite facilities. This includes E-Cigarettes or Vapours.
Candles, fireworks, Chinese Lanterns, naked flames (with the exception of a BBQ) or combustible materials are not permitted onsite.
Campfires are prohibited. You may not bring your own fire pit. Only Fire pits that are hired from our reception may be used. These are provided with a Swedish Log that last approximately 2.5 hours, not other fuel/logs can be burned.
BBQ’s are permitted but must be outside any unit, raised off the ground and be fed by charcoal (not wood).
Flying of drones at or near the site is prohibited.
No dye/hair dye is permitted in the Facilities Block (showers, sinks etc).
Chemical waste must be disposed of at the designated point, located at the rear of the Facilities Block.
Refuse waste must be put immediately into appropriate bags and placed in the relevant receptacles around the site. Do not leave rubbish (even in bags) outside.
Follow the recycling rules.
Please ensure you bring a torch. The West Wight is an area of Dark Skies, and therefore we have very limited outside lighting. All outside lighting on the campsite will be switched off overnight.
For the comfort and safety of visitors and staff, CCTV is in operation at various public areas of the site.
In an emergency (such as a fire) please follow the procedures that are given to you upon check in.
Stoats Farm Ltd is committed to safeguarding all personal information collected online.
We take care to
ensure our content is appropriate. This privacy notice governs the collection
and use of information on the Stoats Farm Ltd website. We may modify our
practices from time to time, and as such the privacy policy may change. It is
the responsibility of the visitor to the website to ensure they are aware of
the privacy policy at the time of their visit.
As Data Controllers, Stoats Farm Ltd is committed to ensuring any personal
information collected is handled in a safe and secure way. Information
collected can include your name, email address, date of birth, address and
telephone number for the purpose of sending you direct marketing information
about upcoming events, offers and other details relevant to the activities run
by Stoats Farm Ltd. It is collected
through various portals including feedback forms, sign-up forms on the website
and bookings made for Stoats Farm Ltd visits both online and onsite on an ‘opt
in’ basis. Your details will only be used for the purposes as listed above, and
you will have the opportunity to stop receiving correspondence at any time by
unsubscribing from the list.
We engage with specific third parties who are used solely to assist in the processing of your details in order to facilitate the collection and distribution of information as listed above.
These companies
will also be GDPR compliant.
Your personal data
will not be shared/sold/traded with any other third parties.
Stoats Farm Ltd will not collect personally identifiable information unless it is:-
· Voluntarily provided to us.
· Required by us for online purchases or bookings
· Requested for activities or submissions
Those using our
online booking or purchasing services will be required to provide personal
information which may include full name, billing and mailing addresses, email
address, telephone number and credit card information. Information regarding
third parties may also be requested e.g. other party members. This will not
include their contact details such as telephone numbers or addresses. When
visitors come to our website, we may automatically collect some non-personally
identifiable information such as the type of computer operating system, browser
and domain name of the Internet Service Provider.
Personal information will be used for internal purposes only, such as to subscribe to our online newsletter, purchase from or book with Stoats Farm Ltd. We will only use the names and email addresses of subscribers to our email newsletter to send them the newsletter. Each newsletter includes instructions for subscription removal via return email. We will never sell, rent or otherwise share our visitors’ personal information with third parties unless:-

· The third party is working with Stoats Farm Ltd to fulfill any order or service and requires the information to satisfy their obligations
We may use
non-personally identifiable information that we collect to improve the design
and content of our website. We may also aggregate this information to analyse
site usage, as well as to offer products, programs or services.
Our site may contain links to other sites whose information practices may be
different from ours. These sites will not be covered by Stoats Farm Ltd privacy
policy and visitors are encouraged to consult these other third party sites’
privacy notices.
Stoats Farm Ltd may use
a software technology called “cookies”. Cookies are small text files that are
placed in visitors’ browsers to store their preferences. Cookies themselves do
not contain any personally identifiable information. Although cookies could
enable us to relate a visitor’s use of this website to personal information
that the visitor has provided, such as an email address, we will not use
cookies for this purpose. We may use cookies to determine how many visitors we
have and how often they visit various sections of our site.
When using credit cards
to place orders or bookings with Stoats Farm Ltd via our website, a technology
is used that automatically encrypts the credit card data while information is
being transmitted over the Internet, provided that the visitor’s browser
supports the Secure Socket Layer protocol (SSL). To verify the security of your
connection with Stoats Farm Ltd, please check your browser window to ensure
that there is a closed padlock sign. This will indicate that SSL is active and
the server is secure. You can also check by looking at the URL address to
ensure it changes from http to https.
You may request details of personal information which we hold about you under the Data Protection Act 1998. A small fee will be payable. If you would like to make such a request please write to us at the address given on the Contact Us page of the website.
